How Do I Send My Customers A Single Email With All Of Their Open Invoices For Today?

Setting up the 'On Created' Trigger in your workflows without any conditions would cause an invoice email to be sent to your customers as soon as a new invoice is registered with Gaviti on your scheduled daily data sync(s).

NOTE: 'On created' does not take the invoice's creation date on your end into account. 'On Created' refers to the date when the invoice was registered with Gaviti after a data sync. For example: If an invoice was created on your system on Thursday, but your data sync with Gaviti was set to the following Monday, that would be the invoice's 'On Created' date.

We recommend using this rule for companies whose customers would usually generate one invoice per day, or that have set time to when new invoices will no longer be created on that day. This is to prevent your customer from being 'spammed' with open invoice emails if they created more that one invoice per day, or missing their 'On Created' email if the invoice arrives after the set time for the rule.

If you would like to send your customers a single daily email with all of the invoices they opened. please use the following steps:

1. Disable or remove any rules for the 'On Created' trigger in this workflow.

2. Add a new rule to the 'Statements and Recurring' trigger

3. Select the 'Weekly' option. Mark the days of the week in which your customers can generate new invoices and the time of day in which an email will be sent to them.

4. Be sure to tick 'Send only if there are open invoices.

5. Use the freetext area to phrase the daily email sent to your customers per your own requirements and needs.

6. Once you are done, add the 'Invoice Report' tag to your email

7. Be sure to tick and select the options in the report customization as shown below:

8. Activate the rule.
